Executive Assistant to the CEO

Position Overview

The Executive Assistant to the CEO provides dedicated, high-level executive and governance support to the Chief Executive Officer, enabling the CEO to operate with focus, clarity, and strategic effectiveness.

This role serves as a trusted partner to the CEO, managing executive priorities, coordinating board and governance processes, and handling sensitive communications with precision and discretion. The Executive Assistant ensures the CEO’s time, attention, and information flow are aligned with organizational priorities and governance requirements.

Specialist, Business Development Support

Position Overview

As the Specialist, Business Development, you will play a key role in advancing Discover Saskatoon’s business event attraction and sales strategies by supporting lead development, bid execution, and client servicing across the sales cycle. Working collaboratively with internal teams, industry partners, and national and international clients, this role helps ensure Saskatoon remains competitive, responsive, and top of mind in the global business events marketplace.
You will support the research, qualification, and management of high-value leads; coordinate bid submissions, site visits, familiarization tours, and in-market activations; and maintain accurate CRM and pipeline records aligned with strategic priorities. Serving as a connector between clients, conference committees, venues, hotels, and service providers, you will help deliver seamless client experiences, strengthen partner relationships, support evolving sales strategies, including targeted prospecting in new markets, and contribute to initiatives such as Discover Saskatoon’s Legacy Project.

Partner Liaison: Serve as a key connection point between clients and local partners, including venues, hotels, food & beverage providers, transportation services, and community organizations.

Relationship Management: Help build and maintain strong working relationships with members, partners, and external stakeholders to support bid development, servicing, and long-term engagement.

Lead Research & Qualifications: Support research, qualification, and development of new business event opportunities. 

Market Intelligence: Provide on-the-ground support during events, FAMs, and client hosting, including transportation coordination, hospitality logistics, and issue resolution. 

Tradeshow & Sales Mission Support: Support in-market activations, tradeshows, and sales missions through planning, logistics, scheduling, and team coordination. 

FAM Tours, Site Visits & In-Market Support 

FAM & Site Visit Coordination: Assist with the planning, coordination, and hosting of familiarization tours and site visits, including itineraries, logistics, and issue resolution. 

In-Market Support: Provide on-the-ground support during events, FAMs, and client hosting, including transportation. 

Tradeshow & Sales Mission Support: Assist with contract list development and directed outreach initiatives that support pipeline growth and need-period strategies. 

Integration & Communication 

Internal Collaboration: Work closely with Business Development, Marketing & Communications, and partner teams to ensure sales efforts are aligned with brand, content, and campaign priorities. 

Content & Communication Support: Provide input, data, and materials to support business event communications, presentations, and industry reporting. 

Reporting & Accountability: Support monthly, quarterly, and annual reporting requirements, ensuring timely submission of accurate sales, pipeline, and impact data.

Sales Pipeline & CRM Performance: Maintains a minimum 95% accuracy rate across CRM records, ensuring 100% of assigned leads, follow-ups, and deadlines are actioned on time. Demonstrates consistent progression of qualified leads through the sales funnel, supporting year-over-year growth in active opportunities and bid submissions. 

Bid execution & Event Actualization: Ensures 100% completion of assigned bid submissions, site visits, and FAM tours by meeting defined timelines, documentation requirements, and partner commitments. Contributes to increased bid competitiveness and successful event execution through coordinated servicing and stakeholder alignment. 

Client & Partner Satisfaction: Achieves a 90% or higher satisfaction score from clients, planners, and industry partners through post-event and post-engagement feedback. Demonstrates strong relationship management, responsiveness, and effective coordination across event servicing and in-market activities. 

Prospecting & Market Development Support: Supports pipeline growth by contributing to targeted prospecting initiatives in priority and emerging markets, resulting in measurable increases in qualified leads aligned with strategic need periods and sales priorities.

Qualifications

● 5+ years of experience in business development, sales, or event coordination, preferably in the tourism, hospitality, or event management sector. 

● A degree or diploma in business, tourism, event management, or a related field is an asset. 

● Strong understanding of the business event and meeting planning industry. 

● Proven ability to manage bids, proposals, and RFP processes. 

● Experience coordinating site visits, FAM tours, and industry tradeshows. 

● Proficiency in Microsoft Office, CRM systems (Simpleview, CVENT), and database management. 

● Strong stakeholder relationship management skills, with the ability to collaborate across multiple industry partners.
