Business Development Coordinator
Full-Time | Saskatoon, SK
Position Overview
As the Business Development Coordinator, you will provide day-to-day operational coordination and administrative support to the Business Development team by supporting lead tracking, bid coordination, and client servicing across the sales cycle. Working collaboratively with internal teams, industry partners, and national and international clients, this role ensures sales activities, logistics, and reporting are organized, accurate, and delivered on time.
This is a coordination-focused role that supports multiple Business Development staff and helps keep trade shows, site visits, bids, and CRM activity moving forward efficiently.
You will support the research, qualification, and management of high-value leads; coordinate bid submissions, site visits, familiarization tours (“FAMs”), and in-market activations; and maintain accurate CRM entries. Serving as a connector between clients, conference committees, venues, hotels, and service providers, you will help deliver seamless client experiences, strengthen partner relationships, track follow-ups and commitments, and contribute to initiatives such as Discover Saskatoon’s Legacy Project.

Skillset
Sales & CRM Management
● CRM Integrity & Reporting: Maintain accurate, up-to-date records of lead activity, proposals, and client communications, ensuring data quality, accountability, and timely reporting.
● Sales Enablement: Assist in collecting bid materials, coordinating proposals, and creating supporting documentation in collaboration with Business Development and Marketing teams.
● Performance Monitoring: Assist in tracking sales pipeline, deadlines, and conversion metrics to ensure opportunities progress effectively.
Bid Development & Event Actualization
● Bid Coordination: Support the end-to-end bid development process, including deadline management, partner engagement, letters of support, financial documentation, and final submissions.
● Event Servicing & Execution: Logistical coordination of business, sporting, and major events by supporting planners and ensuring alignment between client needs and Saskatoon’s destination offerings.
● Legacy Program Support: Assist with Discover Saskatoon’s Legacy Program by identifying potential participants, supporting documentation for partner inclusion, and assisting with events, gifting, and recognition activities.
Client, Partner & Stakeholder Collaboration
● Partner Liaison: Support the team as a key connection point between clients and local partners, including venues, hotels, food & beverage providers, transportation services, and community organizations.
● Stakeholder Engagement: Support conference host committees, destination sales meetings, and partner communications to strengthen collaboration and event success.
● Relationship Management: Support the team in building and maintaining strong working relationships with members, partners, and external stakeholders to support bid development, servicing, and long-term engagement.
● Professional Representation: Support Discover Saskatoon at meetings, site visits, networking events, and industry functions as required.
● Lead Research & Qualifications: Support research, qualification, and development of new business event opportunities.
● Hosting Support: Provide on-the-ground support during events, FAMs, and client hosting, including transportation coordination, hospitality logistics, and issue resolution.
● Sales Support: Assist with contact list development and directed outreach initiatives that support pipeline growth and need-period strategies.
FAM Tours, Site Visits & In-Market Support
● FAM & Site Visit Coordination: Assist with the planning, coordination, and hosting of familiarization tours and site visits, including itineraries, logistics, and issue resolution.
● In-Market Support: Provide on-the-ground support during events, FAMs, and client hosting, including transportation.
Integration & Communication
● Internal Collaboration: Work closely with Business Development, Marketing & Communications, and partner teams to ensure sales efforts are supported with accurate information, timelines and materials.
● Content & Communication Support: Provide input, data, and materials to support business event communications, presentations, and industry reporting.
● Reporting & Accountability: Support monthly, quarterly, and annual reporting requirements, ensuring timely submission of accurate sales, pipeline, and impact data.
Toolset
● CRM & Sales Systems: Comfortable using CRM platforms, such as Simpleview and CVENT, to manage business event leads, track sales pipelines, coordinate bids, and maintain accurate client and partner records.
● Proposal & Presentation Tools: Skilled with Microsoft Word, PowerPoint, and PDF tools to develop bid submissions, proposals, and client-facing presentations.
● Project & Event Management: Experienced in using project management tools, shared planners, and scheduling systems to coordinate site visits, FAM tours, tradeshows and in-market activations.
● Collaboration Tools: Proficient in using Microsoft Teams, Outlook, and SharePoint to support cross-team collaboration, partner communication, and document management.
● Data & Reporting: Competent in Excel and reporting tools to track pipeline performance, impact reports, and support data-driven decision making.
Qualifications
● 3+ years of experience in sales support, event coordination, business operations, or an administrative coordination role, preferably in tourism, hospitality, events, or a related sector.
● A degree or diploma in business, tourism, event management, or a related field is an asset.
● Working knowledge of the business event and meeting planning industry is considered an asset.
● Experience supporting bids, proposals, and RFP processes would be an asset.
● Experience coordinating site visits, FAM tours, and industry tradeshows.
● Proficiency in Microsoft Office, CRM systems (Simpleview, CVENT), and database management.
● Strong stakeholder relationship management skills, with the ability to collaborate across multiple industry partners.
● Excellent organizational and project management skills, with the ability to handle multiple priorities.
● Effective written and verbal communication skills, including report writing and presentation development.
● Ability to travel as required for site visits, tradeshows, and sales missions.
